Job Overview: Celestix Industries is seeking a dynamic and highly organized Executive Assistant to the Managing Director (EA2MD) to lead internal coordination and drive executive-level support. This role requires a strong leader who can manage cross-functional teams, align with strategic goals, and ensure the seamless execution of day-to-day operations on behalf of top management.

Key Responsibilities:

1. Team Leadership & Motivation

• Inspire and guide cross-functional teams to achieve KPIs and department-specific targets.

• Set clear objectives aligned with company-wide goals and monitor individual and team progress.

2. Performance Management & Coaching

• Track performance metrics and provide constructive feedback.

• Coach team members to build capabilities and resolve interpersonal or task-related conflicts.

3. Strategic Communication & Collaboration

• Act as a communication bridge between the MD and various departments.

• Align priorities and drive cross-team execution through timely updates, escalations, and reporting.

4. Productivity & Workflow Optimization

• Develop and implement action plans to enhance operational efficiency across business functions.

• Coordinate with department heads to eliminate bottlenecks and streamline processes.

5. Administrative Oversight

• Manage scheduling, event coordination, and task follow-ups for the MD.

• Oversee budgeting, project reporting, and high-level administrative processes.

6. Meeting & Engagement Management

• Plan and facilitate regular leadership and team meetings.

• Ensure stakeholders remain informed, engaged, and aligned with key decisions.

Qualifications:

• Graduate/Postgraduate in Business Administration, Operations, or equivalent field.

• 5+ years in executive-level coordination, team management, or business operations.

• Excellent communication, leadership, and organizational skills.

• Proven ability to multitask and manage confidential information with discretion.
